Business digitisation

A word everyone pictures differently. In practice it comes down to one thing: that a value someone entered once never gets retyped anywhere else again.

Business digitisation is the shift from paper and manual work to a system where data is created once and passes itself along. It is not about buying a big system — it starts with the single activity that costs the most time today.

Small and medium companies registered in Czechia can draw on the OP TAK — Digital Enterprise programme in 2026, covering roughly 30–60% of eligible costs.

How to tell it is time

You do not need a strategy for this. It is enough if at least three of these are true.

  • The same value gets entered in more than one place.
  • Someone regularly retypes data between a spreadsheet and a system.
  • Last month's numbers arrive halfway through the next one.
  • When someone is off sick, the work only they did stops.
  • Mistakes surface at the customer rather than in the system.
  • Key information lives in e-mails and in people's heads, not in data.

Where to start

The most common mistake is starting by buying a system. It makes more sense to start by measuring.

  1. Write down what is done by hand. Spend a week noting the repetitive work nobody enjoys.
  2. Work out what it costs. Hours per week and the mistakes that come with it. The number usually surprises people.
  3. Pick one. The best ratio of pain to difficulty — not the biggest one.
  4. Solve it within a month. One small finished step does more for confidence inside the company than a year-long plan.
  5. Only then look at the rest. After the first step it is usually clear what comes next — and it is rarely what the plan said.

The four stages companies go through

StageWhat it looks likeWhat is missing
1. PaperOrders in a notebook, invoices written by handAnything digital
2. SpreadsheetsFiles five people e-mail aroundA single source of truth
3. Systems side by sideShop, warehouse and accounting all run, but do not talkIntegration
4. Connected operationData created once, real-time overviewOnly ongoing development

Most small companies sit between the second and third stage. Jumping straight to the fourth does not work — and attempts to do so tend to be the most expensive ones.

The OP TAK — Digital Enterprise grant

The programme supports small and medium enterprises registered in Czechia in buying software, hardware and services connected with digitisation. Support runs roughly between 30 and 60% of eligible costs depending on company size and region.

Two things worth knowing up front: the terms differ per call, and the project generally must not start before the application is submitted. Always check the current wording with Agentura API, which administers it.

What to avoid

  • The big bang. Replacing everything at once means nothing works properly for several months.
  • Digitising a bad process. If a procedure is needlessly convoluted, moving it into a system only sets it in concrete.
  • A system nobody wants to type into. If entry is slower than the spreadsheet, people go back to the spreadsheet.
  • Data you cannot get back out. Ask how you extract the data before you start putting it in.

Frequently asked questions

Moving paper and manual work into a system where data is created once and passes itself along. In practice it means the value someone entered once never has to be retyped anywhere else.

By measuring, not by buying. Spend a week noting the repetitive manual work, calculate what it costs in hours and mistakes, pick the one with the best ratio of pain to difficulty, and solve that within a month.

It depends where the company starts. The first concrete step — automating one annoying activity — starts at 15,000 CZK, about €600. A fully connected operation is a matter of months and hundreds of thousands of crowns, but it gets built piece by piece and each piece pays back on its own.

Usually not. Most companies get the biggest gain from connecting what they already run, so data stops being retyped between them. Replacing everything at once is the most expensive route and the one that most often fails.
